This LOP tool embedges a NEW function to synchronize the items from the LOP with the tasks in Outlook
This brings three benefits :
1. All actions assigned to one people are set at one place >> in his Outlook session
2. The assignees know easiliy what they have to do and for when , looking at their tasks in Outlook that are highlighted as well in the calendar.
3.It gives more visibilities on workload when multiple tasks start to be stacked at the same due date
Important : Tasks in Outlook are linked to the Excel file through the LOP tittle
To allow proper functionning of the import & export tasks functions, please create in your tasks Outlook a new personal column named "LOP"
Check if your name appears in the sheet "LOP" & cell "D3"
It has to correspond to the user name of the outlook session opened on the computer you use. If both are equal , functions will work : Import/Export buttons are enabled
If not, Import/Export buttons are disabled
Export >> Export items from the LOP into the tasks Outlook and assign the tasks to the assignee name filled in the column "Responsible" of the LOP.
Import >> Import updates from the tasks in Outlook into the LOP table. All updates will be highlighted in light blue (cell interior) .
Activate / Inhibate the option by simple clic on the cell
Grey >> option inhibited Green >> Option activated
Display before sending >> when option is activated, all tasks popup are opened in Outlook after a click on Export but not sent - this to allow final checking in Outlook by the owner prior the task are sent to the assignees. When Option is inhibated ( and Assign is activated ) task are directly sent to assignees - No task popup is displayed.
Assign >> when option is activated , export function will assign tasks in outlook to the team member set in the column "Responsible"- When option is disabled , export function creates the task in the outlook session of the owner , but task is not assigned to the team.
This option works only if one unique people in the LOP is assigned to a task and if the team members are set in the team table - range M6-M25(see next section)
To set the team , fill team table in column "M" with First Names and Last names and assign role of each team member (optional).
Column "L" is calculated from first name and last name column , allowing use of acronyms to assign people to a task ( like in the example in the screenshot above with PMAR or DEPE - faster than writing their complete name...)
Acronyms appear as well in the selection list set for all cells from the column "Responsible".
This sheet allows to resume in one table the different milestones of your project , detailed at each level : System, Sub-assembly and components
Well known and identified milestones to all actors of a project contributes to its success, achieving cost , timing and quality.
In this sheet , you can add new columns (=new milestones) and/or rows (= new components or sub systems )
Only the cell "Scope" with red borders is protected against deletion so shall and can not be modified - This cell indexes origin of the table for the macro.
This sheet allows to set the main deliverables expected at each milestones of the project.
In this sheet you can add rows to add deliverables, kust make sure each deliverable stay in front of a merged cell corresponding to the component or sub-sytem
and make sure columns milestones are identical to the column milestones from the sheet "Milestones".
This constraint is mandatory to make the macro "add new deliverables in LOP" works properly
On top of the sheet "Deliverables" click on <<Add new deliverables in LOP>> to create all deliverables with corresponding due date in the LOP :
Status of the items set in the LOP is reported in the deliverables table keeping same coloring set-up :
Grey for items not started, yellow for items on going ,Orange for items due this week , red for items in late and green for completed items
As an additional remark, a double click on one deliverable in the deliverable table will bring you to the corresponding line item in the LOP sheet.
